Our client launched two back-to-back “Epic Go-Live” support projects to ensure a successful implementation across its hospital network. This initiative required over 70 technical resources that could provide “at the elbow support” to doctors, nurses, and other hospital administration officials. Each project ranged from three to four weeks in length and required a team of resources with experience in Epic Application Support skill sets that included:

  • Epic Resolute PB/HB
  • Epic Cadence/Prelude
  • Epic ADT/Prelude
  • Epic Ambulatory EMR

As the staffing vendor of choice, we were tasked with managing the entire recruitment process from identifying a pool of candidates to interviewing and on-boarding selected candidates. Once on-boarded, it was necessary to develop a best-in-class contract employee management plan to guarantee each project was completed on time with minimal attrition and business disruption.

We recognized the challenges of this project were different from most as they revolved around logistics, coordination of details such as the structure of pay, travel, expenses and accommodations, and more than 90% of the candidates were non-local. Apex successfully managed these challenges by:

  • Utilizing our pipeline of qualified, pre-screened candidates to submit 51 candidates within 72 hours of Apex being engaged to staff project.
  • Deploying local back and front office support to streamline the logistical process while maintaining open lines of communication with the client.
  • Creating processes and protocols for communicating with the large number of contract employees and ensuring a clear understanding of the responsibilities and requirements of the role.

In the end, Apex placed 75 resources with less than 1% turnover (34 candidates for the first project and 41 for the second). Apex helped our customer to successfully exceed their project goals through best-in-class contractor management and retention plans.
