Job Description:
Apex Systems is seeking Executive Administrators/Action officers ranging in skill-level from 6-10+ years of start up commercial or government agency experience. Ideal candidates will have strong detail, organizational, and communication skills in order to help improve business processes as you track and manage professional contacts for the team and prioritize and draft internal and external correspondence in accordance with the broader team to serve the Agency’s Mission. Job Title: Executive Administrator
Location: Arlington, VA
Contract: 6 months to perm
Schedule: M-F (2 days in office)
Education: Bachelors Degree required.
Clearance: Active Secret
Pay: $45-$50/hr. depending on experience
Job Description:
*Prepare and provide weekly status updates and ensure data files are uploaded, named, and stored.
*Plan and manage logistics, costs, and agenda for quarterly meetings to review portfolio/performance for optimal team impact.
*Travel - Use the Defense Travel System (DTS) to book and modify frequent travel / coordinate travel arrangements, including booking flights, accommodation and ground transportation as required (within tight deadlines to enable a seamless travel experience); Submit and reconcile expenses.
*Manage and maintain digital record keeping, including event documents (contacts, agendas, and prepare and update briefings, documents, letters, emails, and presentations, as well as copy and distribute documents as requested.
*Maintain document management systems and databases.
*Prioritize correspondence based on urgency and importance
Required Qualifications:
*5+ years of experience as an EA or Action Officer or Coordinator
*2+ years of experience as an EA supporting C-suite/corporate, SES, Agency Leadership Team
*2+ years of commercial experience in (or at ARPA-E, AFWRX, DIU, NavalX or other Government Agencies that interface daily with) the startup and the venture community accelerating commercialization of advanced dual-use technology
*Ability to perform tasks with high degree of accuracy and efficiency with meticulous attention to detail and follow-through, and a strong service orientation in responding to customer needs
*Excellent oral and written communication skills and the ability to exercise judgment in managing confidential or sensitive information
*Secret clearance
*Bachelor’s degree
