Job description: Project Coordinator

Work week: Monday – Friday (excluding city holidays)

Work Hours: 7:45am to 4:30pm (Overtime Not Authorized)

Job Summary

Under general supervision, is responsible for assisting the PM and Client Services primarily with the PC lifecycle replacement project.  This will include meeting deadlines, developing, and maintaining deployment schedules, identifying software requirements on targeted replacement devices, status updates, driving projects, a good understanding of what needs to be done to be proactive. Exercises no supervision.

 

Essential Job Functions

  • Onsite information gathering for IT assets.
  • Identify software and validate licenses
  • Working with departmental staff to coordinate equipment deployment times.
  • Documenting assets, their locations and other pertinent information as needed.
  • Following up with departments to complete asset documentation.
  • Working directly with the client and third-party Project Lead & Project Manager to coordinate departmental install activities.
  • Documenting of meetings, conversations, and dissemination of meeting minutes.
  • Recording of action items and follow up on status.
  • Coordination of meetings with vendors and key IT stakeholders.
  • Work with customers to schedule deployments
  • Performs related duties and fulfills responsibilities as required.

    • Scan network and validate customer hardware & software
    • Validate software licenses
    • Work with customers to update software licensing
    • Establish/maintain lifecycle deployment plan

    • Ensure processes are being followed
    • Escalate issues to leadership
    • Resolve customer issues
    • Maintaining schedules
  • Understanding of:
    • Project Management process
    • Gantt Charts
    • Calendaring
    • Scheduling
    • Hardware configurations
      • Dell hardware
      • Apple hardware
      • Accessories and set up of equipment
    • Remedy

 

Physical Requirements

Physical requirements include frequently lifting/carrying up to 50 pounds; visual acuity, speech, and hearing; hand and eye coordination and manual dexterity necessary to operate basic office equipment. Subject to walking, standing, sitting, reaching, and crouching to perform essential functions. Working conditions are primarily inside an office environment.
