Job Description:

Apex Systems is seeking an Executive Support Specialist experienced within Defense Intelligence or the IC. This role provides a full range of administrative support requirements for a defense intelligence customer in Science and Technology. Must be able to work in a high-operational tempo environment and able to work independently. RESPONSIBILITIES:

  • Assist in composing non-technical correspondence to include endorsements, requests for data, briefings, rosters or reports
  • Manage senior leadership calendars; coordinates with external offices, as needed, in support of high-level meetings
  • Screen incoming correspondence and determines appropriate actions
  • Maintain an appointment calendar and facilitates coordination for leadership to attend meetings and other functions
  • Review outgoing correspondence and reports, ensuring proper formats and correct grammatical content are used, and ascertaining that all necessary coordination has been completed
  • Assist in creation of government travel orders as required
  • Assist in monitoring and tracking official travel for assigned personnel
  • Assist in monitoring and tracking of assigned taskings, ensuring proper distribution, notification, coordination, and submission
  • Follow records management instructions and guidelines to assist in ensuring procedures are followed for the proper maintenance, storage and destruction of all types of records and correspondence
  • Assist division and branch leadership with travel procedures, to include coordination and creation of travel orders in the Defense Travel System
  • Assist in filing/saving official records to the central filing system (hard and soft) and for reviewing documents for destruction or retirement
  • May require Special Access Program (SAP) access
 

QUALIFICATIONS:

  • Minimum of 5 years of experience in a senior EA position supporting DoD or the Intelligence Community
  • Top Secret clearance with SCI eligibility; requires a current Counterintelligence polygraph or ability to pass a Counterintelligence polygraph upon hire
  • Bachelor’s degree in human resources and/or administration
  • Knowledge in time keeping tasks and travel order processing procedures
  • Proficient using MS Office Suite of applications (e.g., MS Word, Excel, PowerPoint, MS Project and Microsoft Access (database))
  • Knowledge in the preparation, crafting, and editing of executive-level and technical correspondence, summaries, guidance, and other documents
  • Possess strong verbal and written communication skills
