Contract Duration: 12 Months
We are seeking an Office Assistant to perform duties supporting three to four executives and provide general oversight of the office space. This role requires a proactive and organized professional to manage administrative tasks, coordinate schedules, and ensure the smooth operation of the office.
- Provide administrative support, including managing and coordinating daily schedules and calendaring for multiple executives in the US and Brazil.
- Manage the calendars of multiple leaders proactively, resolving conflicts efficiently and professionally.
- Coordinate executive travel for domestic and international needs, including hotel, flight, and transportation bookings.
- Manage expenses for self and executives.
- Plan and coordinate employee engagement events of various sizes.
- Manage building access for employees and visitors.
- Manage and procure office technology and handle maintenance needs.
- Order and maintain general office supply inventories.
- Conduct regular site inspections to ensure safety standards are met.
Experience: 3+ years of experience as an Executive Assistant or in a comparable role.
Skills:
- Must be fluent in Spanish and Portuguese.
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
- Ability to work independently, multitask, and manage time effectively.
- Experience handling confidential and sensitive material with integrity.
- Strong interpersonal communication skills and executive presence.
- Demonstrated ability to interact with senior-level executives.
- Proactive attitude with the ability to anticipate problems and implement resolutions.
- Excellent attention to detail and organizational skills.
- Experience with MyTravel.
- Experience with Concur.
- Experience with GepSmart.
- Experience with Guardian.
The anticipated pay range for this position is $24.00 to $29.63 per hour.
