Office and Operations Support Specialist


Position Overview

Well established company is seeking a highly organized and proactive Office and Operations Support Specialist to support its west valley facility. This individual will play a critical role in transportation logistics, ISO system document management, and basic IT support.

This is a dynamic, hands-on role ideal for someone who thrives in a fast-paced

environment, enjoys problem-solving, and is comfortable wearing multiple hats. This will be an onsite role working Monday – Friday during the day.

 

Key Responsibilities

Transportation & Logistics Coordination (Primary Focus)

·      Assist in all aspects of inbound and outbound transportation scheduling and management

·      Coordinate with Carriers to ensure efficient routes and timely pickups.

·      Communicate effectively with Carriers and Clients to resolve transportation issues

·      Maintain accurate records of appropriate transportation activities

ISO Support (Secondary Focus)

·      Maintain all aspects of ISO documentation to include monitoring ISO documentation schedules (i.e. audits and manual reviews) and distributing audit packages and manuals to appropriate personnel.

·      Support Regulatory documentation processes (including annual and biennial report preparation)

·      Organize and manage file storage systems for easy access and retrieval

·      Assist with general administrative and operational tasks as needed

IT Reporting & Computer Network Support (Tertiary Focus)

·      Generate and maintain MISII Monthly reports

·      Assist with tracking and documenting operational metrics

·      Provide basic troubleshooting support for internal computer networks (i.e. internet connectivity, printing issues, software upgrades) as needed and able

General Administrative Support

·      Other assigned tasks and responsibilities as required.

 

Qualifications & Skills

Required:

·      Strong communication skills with a professional and positive phone presence

·      Ability to be assertive, organized, and solutions-oriented when coordinating with Carriers & Clients

·      Proficiency in Microsoft Excel and Word is a must

·      Strong computer literacy with the ability to learn new systems

·      High attention to detail and strong organizational skills

·      Ability to manage multiple priorities in a fast-paced environment

Preferred:

·      Experience in logistics, transportation coordination, or operations support

·      Familiarity with reporting and data tracking

·      Basic understanding of IT troubleshooting (hardware, connectivity, user support)

·      PowerPoint experience

·      Familiarity with Visual Basic is a plus

·      Willingness to grow into additional responsibilities over time

This role is designed to grow over time. The individual has potential to move into a managerial role upon exhibiting proficiency in core responsibilities and the ability to navigate through multiple tasks daily.
