Location: Saint Louis, Missouri (Partial Remote)

 

Role Overview

As a Scheduling Representative, you will often be the first point of contact for patients. This role requires a high standard of customer service and compassion, facilitating all components of a patient's entrance into a healthcare facility. The position involves accurate collection of demographics and insurance information, benefit verification, and ensuring patient safety by correctly identifying individuals within the master person index (MPI). This is a high-volume role, handling approximately 75 calls per day in a metrics-driven environment.

 

Key Responsibilities

  • Provide professional, positive, and patient-focused communication with all patients, families, and co-workers.
  • Perform hospital registration and scheduling, verify insurance, and manage documents within multiple systems.
  • Handle a high volume of inbound calls, multitasking between phone and system screens.
  • Ensure accurate appointment details, including provider, location, and preparation instructions.
  • Manage time effectively and prioritize tasks to resolve scheduling conflicts or patient concerns.
  • Educate patients on financial responsibilities and collect applicable payments.
  • Understand and enforce compliance with regulatory guidelines, including HIPAA Privacy Standards.
  • Maintain alertness and work in a safe manner, as this is a safety-sensitive position.

Required Qualifications

  • Experience in a customer service role, either via phone or in-person, ideally in a high-volume environment.
  • Ability to multitask between phone calls and system screens, utilizing dual monitors.
  • Professional and clear verbal and written communication skills.
  • Attention to detail for ensuring accuracy in scheduling and data entry.
  • Effective time management and the ability to prioritize tasks under pressure.
  • Problem-solving skills to address scheduling conflicts and patient concerns.
  • A strong customer service orientation, including empathy, patience, and professionalism.
  • Comfort working in a metrics-driven environment focused on quality and performance.
  • Adaptability to changing processes, staffing, and technology.

Preferred Qualifications

  • Experience in a healthcare, medical office, or insurance setting.
  • Familiarity with Epic systems.
  • Understanding of medical terminology and basic clinical workflows.
  • Knowledge of HIPAA regulations and patient privacy standards.
  • Experience with insurance verification processes.
  • Comfort with remote work tools such as Microsoft Teams, VPN, and other Microsoft applications.

Work Environment

This position requires candidates to live within a specified radius to complete 20 weeks of onsite training. Following the training period, the role will be remote. However, employees must be able to report onsite if they experience issues with equipment or internet connectivity.
