Often, candidates feel lost and unsure if their applications are being reviewed and considered. To address these concerns, we have introduced an AI-powered Virtual Recruiter, "Riley." This tool is designed to enhance your experience by helping ensure your application is seen, evaluated, and prioritized with our recruiting team.

Features of Virtual Recruiter Riley

  • Faster Hiring Process: Riley automates initial outreach through text, email, and phone calls, expediting the recruitment pipeline, enabling quicker response times.
  • Collaborative Human-AI Strategy: While Riley efficiently manages logistic operations, our human recruiters remain integral, providing personalized interactions and dedicated support to ensure a balanced and comprehensive recruitment approach. 

What to Expect After You Apply

After you submit your application, you will receive both a text message and an email with a link to schedule your pre‑screening. Shortly after receiving these notifications, Recruiter Riley will call you to continue the screening process. If the call is not at a convenient time, you can schedule a better time to connect with Riley using the link provided in your post‑application confirmation email.

Please Note:

  • The scheduling link is active for 3 days post application.
  • If the link expires, you can still complete your pre-screen by calling Recruiter Riley directly at your convenience.
  • If you don't see the email, be sure to check your Spam/Junk folder.
  • Recruiter Riley will contact you from the following email address: [email protected].

We encourage you to complete your screening as soon as possible to keep your application moving forward in the process.

Communication Guidance

  • Missed or Disconnected Calls: Automatically queued for a callback or request a new appointment via text.
  • Blocked Calls: Save Riley's number to prevent diversions to voicemail.
  • Paused Calls: Calls paused for 20 seconds will prompt Riley to disconnect and send a text to reschedule.
  • Opting Out: Send "STOP" via text, email, or phone to discontinue communications with Riley without affecting interactions with human recruiters. 

Prompt Guidance

  • Repeating a Question: Riley will repeat the question if you say, “Repeat.”
  • Asking for More Time: Say “More Time,” and Riley will pause and wait before checking again to see if you're ready to proceed.
  • Question Adaptation: Say “Reframe or Reword” and Riley will repeat or rephrase the question as needed for clarity.
  • Rescheduling Options: If you need to reschedule the conversation with Riley, you can email or text.

Operating Hours

  • Monday - Friday: 8:00 AM - 7:00 PM
  • Saturday: 9:00 AM - 5:00 PM
  • Sunday: 11:00 AM - 5:00 PM

Riley does not operate on holidays, and calls during these periods are scheduled for the next available day.

How Riley Handles Multiple Applications

You may only hear from Riley once—even if you apply to several roles. This is intentional and designed to keep communication efficient. Here's how it works:

  • One outreach, not multiple calls

    Riley typically contacts you about the first role you applied for. This prevents multiple calls in a short period of time.

  • All your applications are still reviewed

    Even if Riley only reaches out once, your information is shared with the appropriate recruiters for every role you applied to.

  • Why you might not receive another call

    If you submit several applications on the same day—or shortly after speaking with Riley—the system recognizes recent contact and avoids duplicate outreach.

  • What happens next

    A recruiter may follow up by email or phone if your background aligns with any of the positions you expressed interest in.

Key Practices for a Successful Virtual Recruitment Experience

Do's:

  • Speak clearly and professionally.
  • Prepare essential documents and questions.
  • Ensure your communication device is charged and free from distractions.
  • Request clarification from Riley as needed.

Don'ts:

  • Avoid multitasking or using a speakerphone.
  • Maintain professionalism and avoid interruptions.
  • Stay focused without eating or drinking during interactions.
