Position Summary

The Expense Management Representative reports to the Expense Management Manager and plays a key role in supporting the organization’s Procure-to-Pay (P2P) process through the accurate and timely processing of accounts payable invoices within the Oracle ERP environment and administration of the corporate card program. This position is responsible for reviewing supporting documentation, resolving discrepancies, providing internal customer support, and ensuring compliance with company purchasing policies, payment controls, and financial procedures. The role partners closely with team members and management to support special projects, process improvements, and month-end close activities in a fast-paced environment focused on operational excellence and continuous improvement. The ideal candidate is detail-oriented, analytical, and customer-focused, with experience in high-volume invoice processing, a strong understanding of accounts payable and purchasing workflows, and the ability to communicate effectively to resolve invoice, payment, and accounts payable process inquiries.

 

Key Responsibilities

  1. Process high-volume supplier invoices accurately and timely within Oracle ERP systems in support of Procure-to-Pay (P2P) operations
  2. Review invoices and expense reports for proper approvals, supporting documentation, purchase order matching, coding accuracy, and policy compliance
  3. Apply Procure-to-Pay (P2P) policies and payment controls, including PO requirements, receipt verification, and adherence to financial procedures
  4. Identify, research, and resolve invoice, expense, and payment discrepancies, including pricing, quantity, tax and service date variances
  5. Respond to employee, supplier, and business partner inquiries and resolve invoice, expense, corporate card, and payment issues
  6. Administer corporate card activities, including new applications, limit changes, suspensions, and cancellations
  7. Support special projects, process improvements, audit requests, and other department initiatives that enhance efficiency, accuracy, and compliance

 

Required Qualifications

  1. High school diploma or GED required
  2. Minimum of 2 years of accounts payable experience
  3. Strong understanding of Accounts Payable processes and controls
  4. Experience processing PO and non-PO invoices
  5. Ability to interpret purchase orders, contracts, and invoice documentation
  6. Proficiency in Microsoft Excel and Microsoft Office applications
  7. Strong attention to detail with a high level of accuracy
  8. Excellent organizational, analytical, and problem-solving skills
  9. Effective written and verbal communication skills
  10. Ability to work independently and manage multiple priorities in a fast-paced environment

 

Preferred Qualifications

  1. Associate or bachelor’s degree in accounting, Finance, or Business preferred
  2. Experience using Oracle ERP systems for invoice processing and accounts payable transactions
  3. Experience supporting corporate card or employee expense management programs
  4. Knowledge of SOX compliance and internal financial controls
  5. Experience working within a corporate shared services environment
  6. Familiarity with workflow and imaging systems
