The IT Business Analyst serves as a critical bridge between business stakeholders and technology teams, translating organizational needs into clear, actionable requirements that drive effective IT solutions. This role is embedded within the Information Technology department and partners closely with project managers, developers, system owners, and business units to ensure that technology initiatives deliver real and measurable value.
The IT Business Analyst leads requirements gathering and documentation, maps and improves business processes, supports systems delivery across the full SDLC, and provides data-driven insights to guide decision-making. Individuals in this role combines strong analytical thinking with excellent interpersonal skills and equally comfortable in a whiteboard session with developers and a steering committee with senior leaders.
Key Responsibilities
Requirements Gathering & Documentation
· Lead structured requirements elicitation sessions with business stakeholders using interviews, workshops, surveys, and observation techniques.
· Document business, functional, and non-functional requirements in clear, unambiguous formats including BRDs, FRDs, use cases, user stories, and acceptance criteria.
· Manage requirements traceability throughout the project lifecycle, ensuring alignment between business needs and delivered solutions.
· Facilitate sign-off of requirements with appropriate stakeholders and maintain version-controlled documentation.
Process Mapping & Improvement
· Analyze current-state business processes to identify inefficiencies, gaps, and opportunities for improvement.
· Develop future-state process designs in collaboration with business and IT teams, documenting workflows using tools such as Visio or Lucid chart.
· Support the implementation of process improvements and measure outcomes against defined success criteria.
· Apply structured business analysis methodologies (e.g., Lean, Six Sigma concepts) where appropriate.
Stakeholder Engagement & Communication
· Facilitate workshops, working groups, and review sessions to gather business needs and validate requirements.
· Build and maintain strong relationships with stakeholders across business units, technical teams and external partners.
· Act as a trusted liaison, translating technical concepts for business audiences and business requirements for technical teams.
· Manage stakeholder expectations through clear, timely communication and proactive issue identification.
Data Analysis & Reporting
· Gather, analyze, and interpret data to support business case development, root cause analysis, and solution evaluation.
· Design and maintain reports and dashboards that provide meaningful insights to stakeholders and project teams.
· Support data quality assessments and contribute to data governance activities as needed.
· Present findings and recommendations in a clear, accessible manner tailored to the audience.
Systems & IT Projects
· Actively participate in all phases of the software development lifecycle, from discovery and requirements through testing, deployment, and post-implementation review.
· Collaborate with developers, architects, and QA teams to ensure solutions are built and tested in alignment with documented requirements.
· Support user acceptance testing (UAT) by developing test scenarios, coordinating testers, and tracking defects to resolution.
· Contribute to system documentation, training materials, and transition planning for new or updated IT systems.
Qualifications
· 3–5 years of experience in a business analyst role, preferably within an IT or technology-driven environment
· Demonstrated ability to lead end-to-end requirements gathering and produce high-quality business and functional requirements documentation.
· Demonstrated ability to analyze and redesign business processes, with experience facilitating workshops and engaging cross-functional stakeholders.
· Demonstrated ability to work within SDLC frameworks and contribute meaningfully across all project phases, including UAT coordination.
· Demonstrated ability to analyze data, develop reports or dashboards, and present findings clearly to both technical and non-technical audiences.
· Strong organizational skills with meticulous attention to detail — able to manage multiple concurrent deliverables without sacrificing quality.
· Excellent communication, analytical, and problem-solving skills.
· Post-secondary education in Business Administration, Information Technology, Computer Science, or a related field; equivalent experience considered.
· CBAP, CCBA, PMI-PBA, or equivalent business analysis certification is highly preferred.
Key Competencies
· Analytical Thinking & Problem Solving: Ability to deconstruct complex business problems, evaluate multiple solution options, and recommend approaches grounded in evidence and data. Comfortable navigating ambiguity while keeping stakeholders aligned.
· Requirements Discipline: Brings rigor and precision to requirements elicitation and documentation. Understands the importance of traceability and can distinguish between business needs, functional requirements, and technical specifications.
· Process-Oriented Mindset: Views work through a process lens — naturally identifies inefficiencies and thinks in terms of inputs, outputs, and improvement opportunities. Connecting process changes to business outcomes.
· Stakeholder Engagement: Skilled at building trust across diverse groups — executives, operations teams, developers, and vendors. Facilitates difficult conversations and drives groups toward shared understanding and agreement.
· Collaborative: Operates as a team player who brings people together rather than working in silos. Actively contributes to a culture of transparency, shared ownership, and mutual respect across IT and business teams.
· Proactive & Self-Directed: Anticipates questions, gaps, and blockers before they surface. Takes ownership of workstreams, follows through without being prompted, and escalates issues early with recommended solutions.
· Discretion & Judgment: Handles sensitive business, system, and organizational information with professionalism and confidentiality. Exercises sound judgment in complex or politically sensitive situations.
· Effective Communicator: Writes clearly and concisely, presents with confidence, and adapts communication style to fit the audience. Equally effective in one-on-one conversations and large stakeholder sessions.
· Organized & Detail-Oriented: Manages multiple deliverables simultaneously without losing precision. Keeps documentation current, prioritizes effectively, and brings structure to unstructured situations.
Success Measures
· Requirements documentation is complete, accurate, and signed off by stakeholders before development begins, with minimal rework due to requirements gaps.
· Ability to manage competing priorities and deliver quality work within defined timelines.
· Ability to facilitate diverse groups — including technical teams, business owners, and senior leaders — toward shared outcomes.
· Ability to work independently and take initiative while maintaining alignment with project managers and team leads.
· Ability to adapt communication style, level of detail, and approach to meet the needs of different stakeholders and contexts.
· Ability to identify gaps, risks, and dependencies early and propose practical mitigations.
