Job Description:
Location: Pensacola, Florida (Hybrid)
This position supports the Project Management function by coordinating project tasks, maintaining documentation, and facilitating communication among project teams and stakeholders. The role involves assisting in tracking project progress, preparing reports, and ensuring alignment with project plans and timelines. This individual will work closely with project managers to support the successful delivery of business initiatives.
- Support the execution of business projects by coordinating daily tasks, schedules, and deliverables.
- Maintain project documentation, including plans, status reports, and meeting notes.
- Assist in scheduling meetings, preparing materials, and tracking action items.
- Coordinate communication between project teams, stakeholders, and vendors.
- Monitor project timelines and escalate delays or issues to project managers.
- Support the use of project management tools and templates to ensure consistency and accuracy.
- Assist with data entry, reporting, and preparation of project updates for leadership.
- Ensure adherence to project standards and support compliance with governance requirements.
Education: A High School Diploma is required.
Experience: This role requires 4+ years of experience in a project coordination or administrative role. Candidates should have an understanding of project management fundamentals and delivery workflows. Experience supporting project execution in a structured, deadline-driven environment is also required.
Technical Skills: Proficiency is needed in organizing project schedules, meetings, and documentation. Candidates must have skill in tracking project tasks, milestones, and deliverables, and proficiency in using project tracking tools such as MS Project, Excel, or Smartsheet. Strong organizational skills for managing multiple priorities and maintaining accurate records are necessary, along with the ability to support communication between project teams, stakeholders, and vendors and escalate issues in collaboration with project leads.
- An Associate’s degree in Business or a related field.
- An Associate-level project management certification, such as CAPM.
- Exposure to project management principles.
This is a hybrid position with the expectation to report on campus a minimum of three days per week. The standard shift is 8:00 AM to 4:30 PM CST. Overtime is not approved for this role.
