A social services organization simplifies its data management platform with migration services. 


Our client planned to streamline their data management by consolidating the various departmental and program databases into a single, unified datastore. This project supported a departmental transition to a new Constituent Relationship Management platform, Microsoft Dynamics. However, with each department program utilizing their own unique data entry applications and databases, there were inconsistencies with data schema and validation rules, leading to a high number of orphaned and duplicated records. Additionally, with contracts ending, staff attrition, and resource limitations, the project was under pressure to meet a demanding timeline.

Simplified process flow with data unification for four pilot programs 


Apex streamlined the data management practices by implementing data schema and validation rules. We quickly assembled a dedicated two-person team, which eventually grew to four, that immersed themselves in the environment. They assessed the data structures, modeled the data, and developed ETL processes and SSIS strategies that aligned with the destination schemas in MS Dynamics. The Apex team identified and outlined requirements, set clear project team accountability factors, and implemented PMO practices to ensure the migration process was completed on-time and with minimal disruption. Furthermore, Apex identified deficient documents and artifacts that made data management more difficult and developed living versions to validate completeness of the project.


As a result of our team’s work, a single system of record was created, all departments have access to accurate data, a seamless integration between entities exists, and the process flow is simplified. By working closely with our client, we have successfully begun the transition from a traditional client-vendor relationship to becoming a strategic partnership. The original scope of the project expanded and delivered on time, thanks to the team’s commitment to collaboration, focus on enablement, and dedication to delivering value to the client. This project also served as a catalyst for identifying additional opportunities and potential risks for the client, enabling Apex to propose effective solutions for the remaining conversions and further solidifying our strategic partnership.
