Executive Assistant

Responsibilities

·       Performs advanced, diversified, and confidential administrative tasks in support of a Managing Director and leadership team

·       Responsible for making regular travel arrangements through corporate booking system, maintaining and tracking all supporting documentation, and submitting correlating Travel and Expense (T&E) reports.

·       May coordinate special projects and department activities

·       May be asked to screen incoming emails.

·       Schedules appointments, meetings, conference rooms, and engage the technology teams when needed for special events.

·       Understanding of the company’s global footprint and mindfulness when setting up meetings across locations.

·       Occasional facilitation of meetings and corresponding agendas/materials.

·       May be responsible for the preparation of reports, graphs, presentations, conducting research, and illustrating data using Excel spreadsheets and PowerPoint slides

·       Acts as an information source on organization policies and procedures

·       Will work closely with administrative colleagues to order and maintain office supplies, prepare/sort mail, maintain and monitor email distribution lists, etc.

Qualifications

·       Comprehensive skill and knowledge of organization policies and practices.

·       Proficiency operating PC and software packages.

·       Knowledge with MS Office, including Outlook, required.

·       Minimum of intermediate experience with Excel, PowerPoint, and Word; capable of supporting teams in creating presentations for both internal and business-facing purposes.

·       3-5+ years of experience in an executive assistant role

·       Forward-thinking, ability to work autonomously (or with little direction), and able to pivot, and think through creative solutions.

·       Should have a keen eye, attention to detail, and willingness to step outside of comfort zone.
